Every business believes in backups the way people believe in exercise - sincerely, and mostly in theory. Then a laptop is stolen, ransomware hits, or someone deletes the accounts folder, and theory meets reality. Having sat with businesses on the wrong side of that moment, we can tell you the difference between the ones that shrugged and the ones that suffered: a boring, automated, tested backup system. Here is how to build one.

The 3-2-1 Rule, in Plain Language

  • 3 copies of your data - the original plus two backups.
  • 2 different types of storage - e.g., a local drive/NAS and cloud storage, so one technology's failure mode does not take both.
  • 1 copy off-site - physically elsewhere, so fire, flood, or theft at the office cannot reach it.

An external drive plugged into the same computer, copied to manually "when someone remembers," violates all three principles at once - it is one copy, on one medium, in one place, updated never.

A Practical Setup for a Small Business

  1. Centralize first: scattered files on individual PCs cannot be reliably backed up. A small NAS (or disciplined cloud drive like Drive/OneDrive) becomes the single working home for company files - see our storage solutions.
  2. Automate local backup: the NAS (or a backup tool) snapshots daily with versioning - so you can retrieve yesterday's version of a file, not just the currently-encrypted one.
  3. Automate off-site: nightly encrypted sync from the NAS to cloud storage. This is the copy that survives anything local.
  4. Retention tiers: daily copies kept for weeks, weekly for months, monthly for a year+ - protecting against problems discovered late.
  5. Alerts on failure: backups fail silently - full disks, expired credentials, unplugged drives. If nobody is notified, a backup system quietly becomes a false-comfort system. (This exact failure is one of the most common findings in our audits.)

The Ransomware Consideration

Modern ransomware hunts backups first. It encrypts connected drives, deletes accessible network copies, and then encrypts the originals - specifically so you must pay. The defenses: off-site copies on separate credentials, versioned storage that can roll back, and ideally immutable backups (write-once storage that even an administrator account cannot erase). If your backup drive is always connected and writable, ransomware considers it part of the target, not the protection.

Testing: The Step That Makes It Real

An untested backup is a hope, not a plan. Quarterly, actually restore something: a file from last month, the accounting database to a spare machine, a website to a staging copy. You are verifying three things - the data is really there, it is really intact, and someone really knows the procedure under calm conditions rather than learning it during a disaster.

Write down restore steps and where credentials live (securely). The person who set up the backups is not guaranteed to be reachable on the day they are needed.

Frequently asked questions

Is Google Drive/OneDrive alone enough? Better than nothing, but sync is not backup: deletions and ransomware-encrypted files sync too. Versioning helps; a separate true backup copy is still the standard.
